About the role:

We’re looking for a Payroll and Accounting Specialist to join our finance team. In this role, you will be responsible for managing all aspects of our payroll processes, contractor payments, and commission calculations. The ideal candidate will ensure accuracy and timeliness in all tasks, contributing to the financial health and operational efficiency of the company while collaborating closely with HR and other departments.

Responsibilities:

  • Payroll Administration: Manage the end-to-end payroll process, including updating employee records, processing timesheets, calculating salaries, taxes, and deductions, and ensuring timely payments. You will also handle payroll-related inquiries and prepare necessary journal entries and reconciliations.

  • Contractor Payments: Oversee the payment process for all contractors, including the collection of necessary tax forms (W8/W9), allocation of payments to the correct general ledger accounts, and management of contractor-related schedules and reconciliations.

  • Commissions and Bonuses: Accurately calculate sales commissions and bonuses, manage accrual schedules, and ensure timely payouts. This includes maintaining deferred commission schedules in accordance with ASC606.

  • Financial Reporting and Analysis: Prepare consolidated labor expense reports, analyze fluctuations, and provide commentary for budget-to-actual reviews. You will also manage schedules for unused vacation, employee advances, and propose correcting journal entries as needed.

  • Collaboration: Work closely with the HR department on headcount and expense allocations, and liaise with external service providers for all payroll-related matters.

Job requirements

Required Qualifications:

  • Degree in Accounting, Finance, or a related field.

  • 3+ years of payroll and accounting experience.

  • Knowledge of U.S. GAAP and general accounting principles.

  • Proven experience with payroll processing, including tax calculations and deductions.

  • Strong analytical skills with a demonstrated ability to perform detailed reconciliations and financial analysis.

  • Exceptional attention to detail and a high degree of accuracy.

  • Ability to work independently, manage multiple priorities, and meet strict deadlines.

  • Proficiency in Microsoft Excel, including pivot tables and complex formulas.

  • Strong verbal and written English

Preferred qualifications:

  • Experience at a Big 4.

  • Hands-on experience with accounting software such as QuickBooks Online, Sage Intacct, or NetSuite.
